The Ximbus Bot

Browse our quick start guide below to get you up and running as quickly as possible.

  1. I am a Google Classroom / Microsoft Office 365 user in my organization.
    1. The Ximbus licensing structure has been specially designed to support admin users and teachers / presenters to allow organizations to manage Ximbus licenses in one place.
    2. Whoever activates a license key for the first time will become an admin user for that key.
    3. Therefore, if you have received license(s) for Ximbus and you work inside a Google Classroom or Microsoft Office 365 environment, you should give the key to whoever is responsible for managing your licenses in your organization.
  2. I am an individual / I am not managed by an organization.
    1. As an individual user, when you activate your Ximbus product key you will become become an admin user for that key. This is to allow freedom of switching between Ximbus for Google and Ximbus for Microsoft.
    2. Visit https://application.ximbus.com/.
    3. Tap ‘Activate a License’.
    4. Log in with Google or Microsoft credentials.
    5. To become a teacher, you must also add yourself as a Teacher by entering your email address against the license key. You can enter a Microsoft or a Google account.
  3. I am a Google Classroom / Microsoft Office 365 admin for my organization.
    1. As an admin for your organization, you will be responsible for adding user emails against a license within the Ximbus Admin Dashboard.
    2. Click this admin consent link to grant access for your users.
    3. Log into Ximbus using your Global Admin organization email address and password.
    4. Accept any permissions for your organization that appear. You will now be prompted to log into Ximbus to finalise the process.
    5. Once logged in, enter your first Ximbus license key.
    6. You will now be redirected to the Ximbus Admin Dashboard.
    7. Enter more keys as required or assign users to the available licenses. You can also assign yourself as a teacher/presenter if required.
    8. Any users in your organization who have been added against a license key will now be able to log into Ximbus for the duration of the license.
  1. Import classes from Microsoft Teams / Google Classroom
    1. Tap 'Import classes from Microsoft Teams / Google Classroom.
    2. Select the classes you would like to import and tap 'Import Classes'.
  2. Creating a new class
    1. Tap 'Create a new class'.
    2. Input a class name at the top.
    3. Input their first name, last name and email address and tap 'add'.
    4. Once you have added all of your students tap 'Save Class'.
  1. Setting up your lesson
    1. Tap ‘Make a New Lesson’
    2. Input a lesson name, description & tags.
    3. Tap ‘Create a New Lesson’.
    4. The lesson builder will appear.
  2. Adding drive content
    1. Select OneDrive or Google Drive along the left.
    2. Tap the ‘+’ button beside the item you wish to add.
    3. The item is then added to the timeline at the bottom.
    4. To remove an item tap the ‘-‘on the tile at the bottom.
  3. Adding YouTube videos
    1. Select YouTube along the left.
    2. Input a search term into the search bar.
    3. Search for the video you would like to add & tap the ‘+’ at the top right of the video tile.
  4. Adding web images
    1. Select Bing Image at the right hand side.
    2. Input a search term into the search bar.
    3. Search for the image you would like to add & select the ‘+’ at the top right of the photo tile. (Please note your search term from YouTube will populate images when you select Bing Images. To change the search term, add a new search term to the search bar at the top left).
  5. Adding web addresses
    1. To add a web link or embed code to your lesson timeline, tap web at the right hand side.
    2. Add a web address or embed code into the search bar & tap ‘add’.
  6. Record a video
    1. When prompted allow Ximbus to access your camera. (You may have to refresh the page)
    2. To record a video tap the record button.
    3. To stop the recording, tap the button again.
    4. To add this video to your timeline, tap 'add to timeline'.
    5. To record another video, tap 'record another video'.
  7. Enrich this tile
    1. To enrich a tile, tap the tile you would like to enrich & at the top tap 'enrich this tile'.
    2. Under the additional info tab you can add an audio note, type a comment & add supporting articles / pages / links.
    3. To add an audio note, tap the microphone icon to the left of 'record an audio note'.
    4. To stop recording tap the microphone icon again.
    5. To play the voice note back, tap the play icon.
    6. To delete this audio note, tap the delete icon on the right hand side.
    7. To add a comment/note, tap on the comment box & start typing.
    8. To add supporting articles / pages / links, tap on the box & add the relevant information.
    9. To add another link, tap 'add another link'.
    10. To add a question, tap the 'question' tab at the top right.
    11. Input the question and the answers.
    12. To add another answer, tap 'add another answer'.
    13. Tap the box on the right beside the correct answer.
    14. To add another question, tap 'add another question'.
    15. Once finished enriching a tile, tap 'save', to return to your timeline.
  8. Lesson options
    1. To clear the timeline, tap the bulldozer icon at the bottom right.
    2. This will remove all documents from your timeline. (Please note no files will be deleted, only removed from the timeline. This action cannot be undone).
    3. To make the lesson 'Step by Step' tap the ‘Step by Step’ slider to turn it green.
  1. Flipped Classroom
    1. To share a self-paced lesson for students tap 'Grant Flipped Lesson Access'.
    2. Select the class you would like to share your lesson with and tap 'Save Audience'.
  2. Presenting Live
    1. To present a lesson live, tap 'Present This Lesson' and select the class/classes you would like to present to.
    2. Alternatively you do not have to invite students to present your live lesson. Just tap 'Present This Lesson'.
  3. Joining a Live Session
    1. Students visit https://application.ximbus.com.
    2. Students log in using their Google or Microsoft credentials.
    3. The system will automatically register them as students you’ve shared a lesson with, & log them in as students.
    4. On the students dashboard a notification will appear stating ‘Lesson Invitation’.
    5. To join the lesson, the student taps ‘join’.
  4. Viewing a Self-Paced Lesson
    1. The student dashboard shows all the lessons that have been shared with the student.
    2. The student taps ‘self paced’ to view the lesson.
  1. Presenter Annotations
    1. To annotate over a slide, navigate to the slide you wish to annotate & tap annotate at the bottom.
    2. Annotations will only show on the teacher’s device.
    3. To save the annotation, tap ‘save annotation’.
    4. Annotations can be reviewed after the lesson by the teacher & the students.
    5. To stop annotating a slide, tap the annotate button.
  2. Collaborative Whiteboard
    1. To bring up a blank canvas, tap ‘whiteboard’ at the bottom.
    2. This will also show on students screens.
    3. Anything added to the canvas, will show on students screens in real time.
    4. To invite a student to collaborate, tap the ‘audience’ icon at the bottom right.
    5. This will bring up a list of students who have joined the live lesson.
    6. Tap the pen icon beside the student’s name you wish to collaborate with; the pen will then change to green.
    7. The tool bar will then appear on the student’s screen allowing them to collaborate.
    8. To remove students white boarding access, tap the pen icon to change the colour back to white.
    9. To stop white boarding, tap the ‘white boarding’ icon at the bottom to return to the lesson timeline.
  3. Eyes Up
    1. To lock all students’ screens tap ‘Eyes Up’ at the bottom of the timeline.
    2. To unlock student’s screen, tap ‘Eyes Up’ button again.
  4. Polling
    1. To quick poll your student’s tap ‘poll’ along the bottom.
    2. Select a question type & the options will appear on the student’s screens.
    3. Students select their answer & the answers feed back to the teachers screen in real time.
    4. To stop the poll, tap the red square at the bottom.
    5. The results from the poll will be shown in %.
  5. Classroom Management Features
    1. To see if any students have navigated off the lesson, tap ‘audience’ at the bottom right.
    2. This will show a class list of each student who has joined the live lesson.
    3. To the left of their email address is a person icon. If the icon is green, they are viewing the lesson, if the icon is orange; they have navigated off the lesson.
  1. My Lessons
    1. All lessons created will be shown in a tile format on the dashboard.
    2. Lessons can be sorted by date or alphabetically by changing the preference at the top left.
    3. To view a lesson timeline, tap ‘view timeline’.
    4. To present a lesson in your lesson dashboard, tap ‘present now’.
    5. To edit a lessons name, description or tags, tap ‘more’ on the lesson tile & tap ‘edit details’.
    6. To view student usage reports, tap ‘more’ on the lesson tile & tap ‘user report’. This page will list the student email addresses that have been invited to view this lesson & how long they reviewed each slide of the lesson.
    7. To view what audience you have invited to a lesson, tap ‘more’ on the lesson tile & tap ‘view audience’.
    8. To share the lesson with another teacher, tap ‘more’ on the lesson tile & tap ‘share to’ then input the teachers email address.
    9. To duplicate the lesson, tap ‘more’ on the lesson tile & tap ‘duplicate’.
    10. To delete a lesson from your dashboard, tap ‘more’ on the lesson tile & tap ‘delete’.
  2. Lessons shared with me
    1. When a fellow teacher shares a lesson with you, it will appear here.
  3. Lesson invites
    1. When a teacher invites you to their lesson as an audience member, the lesson cards will appear here.
  4. Tags
    1. Adding tags when creating a lesson will help you filter your search results in the future.
  5. Support
    1. To report a problem with Ximbus, on your teacher dashboard, tap your name at the top right.
    2. A drop down menu will appear & tap ‘support’.
    3. This will bring you to a Qwizdom support page.
    4. Please create a ticket detailing the problem.
  6. Your account
    1. To find out how many days of your Ximbus license you have left before you need to renew, on your teacher dashboard, tap your name at the top right.
    2. A drop down menu will appear & tap ‘your account’.
    3. On this page it will show how many days of Ximbus you have remaining.
